Diam launches new paperless document upload system

Oman’s Public Authority for Water (Diam) has launched a new paperless system which allows customers to submit their documents electronically.

The new system, which is called ‘Al Mayser’, is aimed at cutting down the amount of paperwork customers need to go through, as well as conserve the environment.

A spokesman for Diam said, “Through this launch, Diam is considered to be the first organisation in the Sultanate to pass the national standards and obtain the certificate of compliance for the standards of electronic document management. Al Mayser contains 32 types of records and documents and it can be linked with other programmes."

He added: “For example, the system can be linked with e-mails, which will allow email messages to be transferred to the system, along with their attachments. In addition, the new system will organise employee desktops and will provide the staff with the feature of printing and sending drafts of official correspondences and internal notes electronically."

This system is intended to reduce paper usage for both the company and customers, which will contribute to saving the environment in the long-term.

"The number of paper documents has decreased to reach 50,000 documents during the last year,” explained the spokesman. “This reduction in the use of paper is due to activating the Al Mayser system. Now, Al Mayser provides access to thousands of documents easily. It cuts down the time and effort made in finding the required documents and records."

It took Diam six months to upload all the documents into the system. Eight Omani employees from Diam worked on putting all the records and information in the electronic system. The system was officially launched on Monday, 22 July, a day before Renaissance Day.

“The launching ceremony was under the patronage of Dr Hamad Al Duwyani, the Head of the National Authority of Documents and Archives, and Mohammed Al-Mahrouqi, the Chairman of Diam,” added Diam. "A number of Diam’s executive managers and staff attended the launching ceremony and the team who worked on Al Mayser were honoured in the ceremony.
